Privacy Policy

Your privacy matters to us

Last updated: September 2026

Introduction

Your privacy is critically important to us. This Privacy Policy explains what personal information we collect, how and why we use it, who we share it with, and the steps we take to keep it safe when you visit or interact with our website. By accessing or using our website, you agree to the practices described in this policy.

Who We Are (Data Controller)

The data controller responsible for your personal information is VR Leadership Coaching Ltd (trading as Vicky Russ), School House, Beccles Road, Norwich, Norfolk NR14 6NR. You can contact us about your data at vicky@vickyruss.co.uk

Information We Collect

Personal information you provide

We collect personal information only when you choose to provide it — for example when you subscribe to our mailing list, buy a product or course, book a session, or contact us. This may include:

•  Your name

•  Email address

•  Phone number (if provided)

•  Postal address, including town and postcode (for delivering physical items such as a book)

•  Purchase and transaction details (what you bought and when). We do not store your full card details — card payments are handled securely by our payment processor, Stripe.

Information collected automatically

When you use our website we may automatically collect non-personal and technical information, such as browser type and version, operating system, IP address, and the pages you visit. This is gathered through cookies and similar technologies (see Cookies and Tracking, below).

How We Use Your Information

We use the information we collect to:

•  Provide, deliver and improve our products, courses and services

•  Process your purchases, give you access to online courses, and send order confirmations

•  Post physical items to you (such as a book)

•  Send you marketing or updates where you have agreed to receive them, and respond to your enquiries

•  Personalise your experience

•  Monitor website performance, diagnose technical issues, and keep our site secure

•  Meet our legal and accounting obligations and protect against fraud

Our Lawful Bases for Processing

Under UK data protection law, we must have a lawful basis for using your personal information. We rely on the following:

•  Consent — for sending you marketing emails and for setting non-essential cookies. You can withdraw consent at any time.

•  Performance of a contract — to process your order, deliver your course or products, provide access, and offer support.

•  Legitimate interests — to run, secure and improve our website and services, and to understand how our site and marketing perform, balanced against your rights.

•  Legal obligation — to meet our tax, accounting and other legal requirements.

Who We Share Your Information With

We do not sell or rent your personal information. We share it only with trusted service providers who help us run our business, and only as needed. These include:

•  Kit (formerly ConvertKit) — to manage our mailing list and send emails.

•  Stripe — to process payments securely.

•  Meta Platforms (Facebook and Instagram) — where we run and measure advertising, including through the Meta pixel (only where you have accepted advertising cookies).

•  Google / YouTube — where videos are embedded on our pages.

•  Our website host and delivery providers — to host the site and post physical items to you.

We may also disclose information where required by law, to protect our site from unlawful activity, or as part of a business sale or transfer.

International Data Transfers

Some of our service providers (such as Kit, Stripe, Meta and Google) are based outside the UK, including in the United States. Where your personal information is transferred outside the UK or European Economic Area, we rely on appropriate safeguards — such as UK adequacy regulations or Standard Contractual Clauses — to ensure it remains protected.

Marketing and Your Choices

We only send you marketing emails where you have given us permission, for example by opting in on our website. You can unsubscribe at any time using the link in any email, or by contacting us, and we will stop sending you marketing. We use Kit to manage our emails and subscriptions.

Cookies and Tracking Technologies

We use cookies and similar technologies to help our website work, understand how it is used, remember your preferences, and — where you agree — to measure and improve our advertising. Essential cookies are needed for the site to function. Non-essential cookies, including analytics, advertising cookies (such as the Meta pixel), and cookies set by embedded YouTube videos, are used only with your consent.

You can manage your preferences through our cookie settings and your browser. Disabling some cookies may limit certain features of the website.

Data Retention

We keep your personal information only for as long as necessary for the purposes set out in this policy, or for as long as required by law (for example, we keep transaction records for accounting and tax purposes). When information is no longer needed, we securely delete or anonymise it.

Data Security

We take appropriate measures to protect your personal information from unauthorised access, disclosure, alteration or destruction, including secure connections, access controls, and using reputable providers such as Stripe for payments. However, no method of transmission or storage over the internet is completely secure, and we cannot guarantee absolute security.

Your Rights

Depending on your circumstances, you have rights over your personal information, including the right to:

•  Access, correct or delete your personal data

•  Object to or restrict how we process it

•  Withdraw consent where we rely on it

•  Data portability

To exercise any of these rights, please contact us using the details below. You also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection regulator, at ico.org.uk.

Third-Party Links

Our website may contain links to external websites or services that we do not operate. We are not responsible for their privacy practices, and we encourage you to review their privacy policies.

Children's Privacy

Our website and services are not intended for individuals under the age of 18, and we do not knowingly collect personal information from children. If we discover we have inadvertently collected such information, we will delete it promptly.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in legal requirements, technology, or how we work. Any updates will be posted on this page with a revised “last updated” date.
